The terms and conditions outlined below are applicable to all bookings confirmed by Kedibone Safaris (PTY) Ltd from October 1st, 2022, revised in January 2024 and remain valid for the year 2024
Please review these booking conditions attentively.
By booking with Kedibone Safaris and proceeding with payment, you confirm that you have read, understood, and fully agree to these terms.
Provisional Booking:
All bookings are considered provisional until availability is confirmed and the initial payment is received.

Rates Amendments:
Kedibone Safaris (PTY) Ltd reserves the right to adjust quoted rates due to factors like unavailable preferred accommodations, exchange rate fluctuations, or unforeseen price increases by third-party suppliers. We strive to honor the quoted rate and minimize unexpected price changes.

Contract and Financial Protection:
When opting to pay in ZAR through our South African bank account or credit card facility, you are entering a contract with Kedibone Safaris (PTY) Ltd, governed by South African consumer protection laws and travel regulations. Kedibone Safaris (PTY) Ltd is insured and covered by comprehensive public liability and passenger liability insurance, supported by Outsurance.

COVID-19 Policy
Our company does charge a admin cancellation fee in the event of an unavoidable cancellation or inability to travel due to COVID-19, should it become a pandemic again with significant travel restrictions worldwide.
Refunds are subject to the terms and conditions of our suppliers, and our ability to reimburse a customer for a COVID-19 cancellation will be determined by whether we can secure a refund from the suppliers we have already paid.
While policies vary among suppliers, most have flexible COVID-19 policies that allow for a full refund in the event of an unavoidable COVID-19 cancellation.
To request a cancellation due to a positive PCR test restricting travel, proof must be provided.
Postponement is the preferred option in case of COVID-19 to benefit both parties.
Kindly note that some suppliers may issue a travel voucher valid for 12-24 months, depending on their policy

First Advance Payment
For bookings made more than 7 weeks in advance, a first payment of 35% to 50% of the full price, known as the Mobilization Fee, is necessary when making your reservation.
This initial payment is utilized to secure availability by paying deposits to suppliers and confirming reservations on your behalf.
The refundability of these deposits depends on the cancellation policies of each supplier. In specific cases, such as bookings with certain suppliers, a larger deposit of up to 60% may be needed as the first advance payment. If this applies, you will be informed beforehand.
For Daily Kruger Safaris booked in advance and reserved activities, a 50% deposit is required to confirm your booking.

Balance Payment:
Unless specified otherwise, the balance must be settled at least 5 weeks (35 days) before departure.
Some suppliers, like SANPARKS, require full payment 45 days prior to departure.
If certain suppliers demand full payment 60 days before departure, your balance will be due 65 days before your travel date.
Booking within 7 weeks of departure requires full payment when making the reservation.
Failure to pay the balance may lead to booking cancellation and forfeiture of the initial payment.
You are responsible for all transaction fees, including wire transfer costs, cash deposit fees, foreign exchange conversion fees, and bank routing fees.
The full quoted amount must be received in our account. Credit card fees are covered if you pay by credit card; no surcharge will be added.

Cancellation Policy:
For Tours and Overnight Safaris:
61 days or more before departure: 15% of the full price 60 to 46 days before departure: 30% of the full price 45 to 15 days before departure: 70% of the full price
14 days or less before departure: 100% of the full price
For Daily Kruger Safaris and Activities:
Up to 4 days before departure: 15% of the full price 3 days or less before departure: 30% of the full price
Third-Party Cancellation Fees:
Cancellation policies of third parties (lodges, hotels, or other suppliers) may override our policy, with additional fees applied as per their terms.

Force Majeure / Vis Major
In the event of force majeure, such as war, a pandemic, a natural disaster, or any unforeseen circumstance that prevents us from fulfilling our obligations to you, our priority is to reschedule or delay your trip without charges (subject to potential supplier cancellation fees and also the time frame left to the active booking).
If rescheduling is not an option, you will need to claim the full trip cost from your travel insurance.
In certain cases, we may issue a travel voucher valid for 12-24 months, based on supplier policies.

Risk of Loss
Kedibone Safaris (PTY) Ltd will not be liable for losses due to third-party cancellation fees or supplier issues.
Your travel plans are at your own risk, and we do not assume responsibility for supplier failures, missed flights, visa problems, document issues, flight disruptions, delays, lost luggage, transportation problems, weather conditions, illness, family emergencies, pandemics, natural disasters, or any other situations leading to trip cancellations or modifications, whether before or during your journey.
It is essential to purchase comprehensive travel insurance with adequate coverage for cancellations and interruptions.

Changes to Confirmed Bookings
Requests for changes to confirmed bookings are sometimes possible, depending on availability, but may result in rate adjustments and admin fee charges (e.g., date changes may affect rates).
Changes will be accommodated if feasible and do not inconvenience other clients.

Changes Implemented by Us
Every effort will be made to deliver the accommodation, services, and activities as outlined and quoted to you.
In the rare circumstance that unforeseen events require a program change, we will promptly inform you and explore suitable alternatives together.
We cannot be held accountable for adverse weather, traffic issues, vehicle breakdowns, supplier challenges, or other unforeseen situations leading to itinerary adjustments or activity cancellations.
We retain the right to modify accommodation, transportation, meals, and other program specifics when conditions necessitate, but only if absolutely essential and unavoidable. We are dedicated to acting in your best interest and will strive to provide an alternative of comparable value if changes are needed.

Refund Guidelines
Our refund policy aligns with our cancellation policy and that of third-party suppliers.
When requesting a refund, especially where Kedibone Safaris (PTY) Ltd is not at fault, we follow a specific set of priorities to seek a mutually beneficial solution:
a.Reschedule or postpone: We will make efforts to reschedule the activity or postpone your trip to a mutually agreed date to minimize losses for all parties involved.
b.In cases where rescheduling or postponement is not feasible, you will be advised to seek compensation from your travel insurance. It is crucial to have comprehensive travel insurance to mitigate loss risk.
c.No refund will be issued if a valid travel insurance claim could cover the loss.
d.Failure to obtain adequate travel insurance shifts the risk to you, and no refunds will be
provided by Kedibone Safaris (PTY) Ltd.
e.If your travel insurance claim is rejected or insufficient, we will refund only the net
amount obtained from suppliers, subject to our cancellation policy, deducting 15% administrative fees for transaction costs.
We are unable to refund funds not in our possession as they have been disbursed to suppliers on your behalf.
Certain activities on your itinerary may be weather sensitive and could be canceled due to unsuitable weather or other reasons.
If feasible, we will attempt to reschedule the activity on another day of your itinerary in collaboration with the activity supplier.
When rescheduling to another day, there is typically no extra cost unless there are uncontrollable price variations like supplier-imposed high season rates.
If rescheduling isn't feasible, we will try to obtain a refund or partial refund from the supplier on your behalf.
If the supplier doesn't provide a refund, unfortunately, we won't be able to offer one
either. In such cases, you may need to turn to your travel insurance.
In instances where we secure a full or partial refund from suppliers, we will refund you the net amount obtained from the supplier, minus a 15% admin fee to cover transaction costs. Please note that full refunds are not guaranteed for canceled activities.
Any losses from cancellations should be claimed through travel insurance.
No refunds will be issued for missed flights, transfers, late arrivals, no-shows, or last- minute cancellations or changes requested by you. It's essential to have comprehensive travel insurance with adequate coverage.
Refunds will be processed in the currency and to the credit card used for payment. Bank transfers will only apply if the trip was paid for by bank transfer, with potential deduction of transaction costs by both banks. Exchange rate fluctuations may impact the refund amount received.
Excluded items and spending money should be carefully noted. Your quote and booking confirmation will specify included and excluded items, with no hidden fees. Unless stated otherwise, excluded items typically encompass international flights, airport taxes, visas, meals, drinks, personal expenses, tips, optional activities, and costs related to COVID-19 tests or medical procedures.

Cash Management and Insurance Tips for Your Travels:
Ensure you have enough cash for purchases, with the flexibility to pay for extras in cash or occasionally by credit card, as not all places may accept cards.
Exchange foreign currency before your trip or at the airport/banks, as USD is widely accepted.
Tipping is optional, usually given to guides for exceptional service; detailed guidelines will be in your booking confirmation.
Clients must organize comprehensive travel and medical emergency insurance within 48 hours of payment, including coverage for cancellations and disruptions.
Review policies carefully, considering options like "cancel for any reason" coverage, COVID-19, or force majeure coverage.
Credit card travel insurance may have limitations; consider purchasing necessary upgrades for African trips.
Insurance details should be provided on the booking form to ensure adequate coverage. Customers without proper travel insurance won't receive refunds; Kedibone Safaris (PTY) Ltd has comprehensive liability insurance for your reassurance.

Health Guidelines:
No mandatory vaccinations are necessary for traveling to South Africa. However, if you plan to visit other African destinations, it is advisable to seek advice from your travel clinic or doctor regarding vaccinations.
For instance, a Yellow Fever vaccine might be required to enter South Africa if you have visited countries where Yellow Fever is prevalent.
Some places may mandate proof of a recent negative test for Coronavirus (SARS- Cov2).
You should ascertain your home country's entry requirements upon return and discuss with us the options for arranging a COVID test before your trip, not during. Obtaining a COVID test on short notice in a remote area may be challenging.
It is advisable to take anti-malaria tablets as prescribed by medical professionals.
If you have any medical conditions that could affect your safari experience, please inform us when filling out your booking form.
Ensure you bring any necessary prescription medications.
We do not assume responsibility for any medical conditions or illnesses that may arise during your safari, even if we have been informed beforehand.

Dietary Needs:
​
A dietary form will be provided with your booking form for indicating your dietary preferences, special requests, and food allergies. Kindly complete and return it to us promptly.
Notify us in advance of any dietary requirements, food allergies, or restrictions. While we strive to accommodate all dietary needs, our preparation depends on the information provided in advance.
We are not liable for un-notified special dietary requests.
Please be aware that in remote bush locations, meeting very strict dietary requirements may not always be feasible.

Kedibone Safaris (PTY) Ltd and its staff disclaim all liability for any form of damage, injury, or loss, such as death, trauma, disability, illness, theft, financial loss, missed flights, denied boarding, cancelled or shortened safaris, or any other incidents that may occur before, during, or after your safari experience.
By booking your safari, you acknowledge the inherent risks of travel and agree to absolve Kedibone Safaris (PTY) Ltd from any claims or liabilities arising from losses, injuries, illnesses, accidents, pandemics, natural disasters, or unforeseen events during your tour. Participation in this tour is entirely at your own risk.
It is essential to have adequate health and comprehensive travel insurance to cover any unforeseen circumstances
Travel Documents
You are responsible for ensuring you have all the necessary travel documents, including a passport (valid for at least six months beyond the safari date with two blank pages), visas (apply in advance if required), spending money, flight tickets, negative COVID-19 test results, and insurance coverage.
Visa regulations may change suddenly, so travelers must verify visa requirements themselves.
Note that South African children under 18 may need an unabridged birth certificate. Passport and visa applications should be made well in advance, if necessary. COVID-19 travel regulations and airline requirements may change suddenly. Kedibone Safaris (PTY) Ltd is not liable if you fail to obtain the correct travel documents.

Children's Requirements
When traveling with a child under 18 holding a South African passport, ensure they have an unabridged birth certificate (containing details of both parents).
If you do not have this document, apply for it in advance.
For children traveling with foreign passports, no birth certificate is required since the regulation was eliminated in November 2019.
South African passport holders traveling with one parent must have written consent from the other parent in the form of an affidavit, a court-issued full custody order, or a valid death certificate. Adopted children need official proof of adoption.
9. You cannot transfer your rights or obligations under this Agreement.
10. If Kedibone Safaris is unable to fulfill its obligations due to uncontrollable events, it will be excused from those obligations during that period and not held liable for any resulting delays or damages.
11. Updated versions of this Agreement will be provided as our policies change or due to external factors.
Please review any revised terms carefully and raise any questions you may have.

NOTICES AND LEGAL PROCESS ADDRESSES
1.The parties have selected the following physical addresses for serving legal documents related to this Agreement (known as domicilia citandi et executandi) and for sending any written notices concerning this Agreement:

You: The address provided by you on the Customer Booking Form.
2.Either party can change this address to another address by giving notice to the other
party, provided that the notice is received at least 7 days before the change takes effect.

CONFIDENTIALITY & COMMUNICATION
1.Kedibone Safaris commits to taking all reasonable and necessary measures to safeguard your personal information.
2.You grant Kedibone Safaris permission to electronically record and store the following information for the purpose of sharing information requested by you and providing access to restricted pages on the Kedibone Safaris website and affiliated websites:

7.Your chosen username and password
